PMVA · Membership & privacy
Privacy policy
Version: pmva-privacy-2026-09-08-v1
Effective date: September 8, 2026
1. Scope
This policy explains how PMVA handles information in its website and membership services. It covers interest inquiries, applicants, member businesses and people using their accounts. The responsible entity is Philadelphia Mobile Vendor Association, LLC. It applies from the effective date shown above.
Notice address: 59 W Germantown Pike, East Norriton, PA 19401. Membership and privacy contact: info@nationalmva.com.
2. Information PMVA collects
Interest and application information includes names, business and contact details, vendor category, operating area, business description, mobile-unit count, selected plan, referral or campaign information, and communication preferences.
Membership records include application decisions, member number, account sessions, support requests, acceptance records, business profiles, unit details and submissions for opportunities. Compliance records include requested documents, expiration dates, review outcomes, exceptions and review history.
Billing records include selected plan, payment-provider identifiers, installments, amounts, payment outcomes and renewal choice. Stripe handles payment entry and processing. PMVA uses payment references and status to administer membership.
Technical records include session identifiers, access timestamps and basic request information. The acceptance flow records IP address and browser user-agent information along with the acceptance time, version and account-associated name.
3. How information is used
PMVA uses this information to respond to inquiries, review applications, manage account access and membership, administer dues and renewal choices, review compliance, manage profiles and opportunities, provide support, maintain review records and protect the platform.
The platform records communication preferences. Agreeing to membership terms does not itself opt you into optional marketing or authorize recurring charges.
4. Service providers and review tools
The implementation uses Supabase for database, authentication and storage services, Vercel for hosting, Stripe for payments, and Resend for email/contact workflows. Information needed for those functions is processed through the relevant service.
When configured and requested by staff, an OpenAI-assisted application review can process selected business/application details, status information and reviewer context to produce a summary and review suggestions. This tool supports human review; it does not approve membership. When staff use this feature, those selected details are sent to OpenAI. The application-review integration does not automatically send uploaded compliance documents or payment-card information.
Service providers process information needed to host, secure and operate our services, handle payments and maintain communications. Their processing may occur in the United States or other locations where they operate. PMVA may also disclose information when necessary to comply with law, respond to lawful process, protect accounts or address fraud and security incidents.
5. Public profiles and private documents
Eligible, approved profile content can appear in PMVA’s public directory, member status pages or featured-member areas once those features are open. Depending on submitted and approved fields, that content can include business name, description, category, images, links, service information and public contact details. Public information can be viewed and copied by others.
Compliance documents use private storage and authorized review access. They are not directory content. Approval to publish a business profile does not make its compliance uploads public. For a requested advisor or insurance introduction, PMVA will coordinate the proposed handoff with you before sharing your contact or request details with the outside provider. Submitting an interest request does not automatically transmit a referral. The provider’s own terms and privacy notice apply to information you give that provider.
7. Retention and requests
PMVA retains information for the purposes described here, including active membership administration, financial recordkeeping, compliance review, dispute handling, security and legal obligations. Retention depends on the record and the reason it is needed. Deleting an account or stopping renewal does not automatically erase financial, compliance or acceptance history. Backup copies may remain until replaced through normal backup cycles.
Members can update available business/profile fields and submit support requests through the portal. For access, correction or deletion requests, including requests from applicants and people without portal access, contact info@nationalmva.com. Include enough information to identify your account or inquiry, but do not email passwords, card numbers or sensitive documents. We may verify your identity and authority before acting, and will explain when a request cannot be fulfilled or information must be retained. We respond within any period required by applicable law.
Depending on applicable law, you may have rights to access, correct, delete or obtain a copy of information, or to object to or limit certain processing. Contact the address above to exercise an applicable right or ask us to review a response. We will not retaliate against you for exercising an applicable privacy right.
8. Security and appropriate submissions
We use access controls and private document storage to limit access to member records. No website or transmission method can guarantee complete security. Keep activation links and account access private. Submit requested compliance evidence through the authorized upload tools; do not place sensitive documents, health records, passwords or payment-card details in free-text support requests.
Our services are directed to business owners and authorized representatives, not children under 13. If you believe a child has supplied personal information, contact us so we can investigate and address it.
9. Policy changes
We will post changes on this page with an updated version and effective date. For a material change in how information is used, we will provide additional notice and obtain consent when required by applicable law.
A policy update does not change the version recorded in your historical acceptance receipt. Contact info@nationalmva.com with questions about this policy or your information.
